Core Functions:

  • Ensure inventories of Raw and Packaging materials for local production and Third Party imported finished goods (HSL, BBC, KISS, Soldanza & Jambisco) are maintained at levels established by the Company.

  • Confirm order quantities and prepare Purchase orders weekly and monthly in accordance with requirements for approval.

  • Maintain age listing for HSL and Soldanza products

  • Track purchase orders from receipt to final payments.

  • Investigate and resolve discrepancies in receipts and invoices and prepare exception reports as may be required for Third Party imported goods.

  • Ensure that claims for non-conforming materials are accurate as per advice from the quality team and dispatch same to suppliers for reimbursement.  (All claims prepared by the finance dept. on advice from Quality Control).

  • Maintain vendor contracts in PFW for all suppliers of goods and materials, and update for price increases in a timely manner.  

  • Liaise with the Export Coordinator for the Bermudez group regarding the availability of stock, confirmation of adjustments.

  • Liaise in a timely manner with the Warehouse Supervisor and other relevant departments regarding all issues relating to purchases.

  • Liaise with the Logistics Clerk regarding the arrival of containers and booking of the same as per schedule for offloading.  

  • Communicate with internal customers re unavailability of stock and timing for receiving of orders into the warehouse.

  • Interact with Customs Brokers and Shipping Agents regarding in-transit shipments.

  • Prepare monthly stock usage reports to monitor inventory performance and to plan purchases.

  • Establish and maintain professional partnerships with all local and foreign suppliers.

  • Works with Regional counterparts to obtain best prices and payment terms.

Performs other related duties as required by the Job function.

Job Context:

The major focus of the job is to ensure that adequate inventory levels of raw and packaging materials and 3rd party goods are maintained at all times.  Stock-outs must be avoided.

The job will be performed in a highly active environment and will require attention to detail at all times as accuracy is of utmost importance.  Constant interaction using several media including telephone, electronic mail and face to face contact with suppliers/export coordinators and internal customers is required.  Team work forms an integral part of the company’s distribution operation.  The job is driven by operating procedures but it is a requirement that continuous improvement is realized through the use of initiative and the implementation of changes where necessary. Good timely decision making and prompt communication of changes to relevant parties are also critical components of the job. 

Job Specifications:

Knowledge:

A good knowledge of the following is required;

  • Arithmetic or mathematics and their applications

  • Word processing and excel spreadsheets, files and records management, form design etc.

  • English Language

Education and Experience:

¨     Associate Degre level

¨     2 years' experience in purchasing items for distribution in a fast-paced environment.

¨     Good understanding of inventory.

  • Excellent analytical skills – must be able to analyze information and evaluate results in order to choose the best solution.
